For anyone calling by phone

Say what you need.
How to use AI phone.

When you call, an automated voice will ask what you need. Bookings, inquiries, and transfers to staff are handled based on what you say. This page explains how to call and includes example phrases.

About

What is AI phone?

An automated voice answers in place of staff, asks what you need, then either helps you or transfers you to the right person.

01

Even outside hours

You can also call outside opening hours or during busy times. Call when it suits you.

02

No button presses

You do not need to press numbered buttons. Say what you need out loud, such as “I want to book” or “I have a question.”

03

If it is not heard, you will be asked again

If something is not heard clearly, you will be asked again. Repeat yourself and the call continues from there.

First word

One short phrase is enough

You do not need to say everything at once. Tell us one short request at a time. The phrases below are examples. You do not need to use the exact wording.

Example phrases

For example, just say “I want to book.”

I want to bookI have a questionTransfer me

That one phrase is enough. After that, you will be asked follow-up questions one by one. Just answer in order. You do not need to say everything at once.

How to use

How it works

From placing the call to finishing, there are three steps.

01

Call the usual phone number

Call the usual phone number. No special number is needed. When the call connects, an automated voice will begin. No app or account is required.

You can call from a smartphone or a landline.
02

Say your request in one short phrase

You will be asked what you need. First, say one short phrase, such as “I want to book” or “I have a question.” After that, you will be asked follow-up questions one at a time.

If something is not heard clearly, you will be asked again. Just repeat yourself.
03

Get an answer, or be transferred

If it can be handled on the spot, you will get an answer. If you need a person, you will be asked first, then transferred.

If a more detailed discussion is needed, staff may call you back during opening hours.
Phrases

One short phrase is enough

There is no required wording. Say your request in one short phrase, like the examples below.

I want to book
You will be asked for details such as date and time.
I have a question
Your question will be confirmed, then answered.
Transfer me
After you confirm, you will be transferred to staff.

Tip 1 Do not say everything at once. Answer one thing at a time. Wait for the next question. Tip 2 If something is not heard, you will be asked again. Repeat yourself and the call continues.

Example

Example conversation

A real call looks like this. Answer one question at a time.

Automated voice
Thank you for calling. How can I help you?
You
I want to book.
Automated voice
Certainly. What date and time would you like?
You
October 3 at 10 a.m.
Automated voice
May I have your name?
You
Hanako Yamada.
Automated voice
October 3 at 10 a.m., for Hanako Yamada. Thank you.

That completes the request. If something is not heard, you will be asked again. Repeat yourself and the call continues.

Tips

For a smoother call

i

Keep the first request short

Start with one short phrase such as “I want to book” or “I have a question.” Then answer each follow-up question.

ii

It is fine to be asked again

If it is not heard clearly, you will be asked again. If you misspeak, just correct it on the spot.

iii

Speak clearly and slowly

Slow, clear speech is easier to recognize than rushing. A quiet place is best.

iv

Have details ready

You may be asked for a booking number or membership number. Having it ready helps.
